OPPORTUNITY DRAWING

Due to high interest each year, registration for the Hearties Family Reunion is done through the Opportunity Drawing process to give everyone an equal chance of attending. To be considered for a spot, read through the instructions below.  

INSTRUCTIONS
Opportunity Drawing Submission Period:
May 1, 2023, 10:00 a.m. EST/7:00 a.m. PST through May 8, 2023, 8:00 p.m. EST/5:00 p.m. PST

The number of Hearties we can accommodate is based on many factors, including venue availability, lodging options and costs, as well as making the experience as pleasant as possible for all Hearties in attendance. There is a two-ticket maximum, and please note that any registrant under the age of eighteen must be accompanied by a registered adult.

STEP ONE: Complete the Opportunity Drawing form found in the navigation tab titled “Opportunity Drawing.” (Update 5/8/2023 - the Opportunity Drawing is now CLOSED.) There is a two-ticket maximum, so if you want to attend with a friend or family member, you will enter them on the same opportunity drawing form as you (Person One and Person Two). You will need to coordinate with them and the two of you will only need to complete ONE form. If you just need one ticket, complete Person One information only.  

Review your information for accuracy PRIOR to clicking “submit” as this will be the ONLY way we contact you!  

Duplicate entries are not permitted. Any duplicate entries found will be removed.

STEP TWO: After the opportunity drawing entry window closes on May 8, 2023, forms are then randomly drawn and individuals notified via email from Eventbrite. If there were two of you listed on your Opportunity Drawing form and your form is drawn, you will BOTH receive an email to register. Full payment is required at Step Two of registration, so be sure you have read through our refund policy listed below prior to submitting payment.

The drawing takes some time, so please be patient. We will post on social media when the first batch of emails are sent.

Check your email regularly!! We cannot stress this enough. Once the email is sent, you will have 48 hours to complete your registration through Eventbrite with payment as instructed in the email. If you have not completed your registration with the link provided within 48 hours the link will expire, and we will move on to the next Heartie in the drawing. We will post a notice on all social media and here on the website once all spots have been filled.  

PLEASE NOTE: Not everyone who enters claims their spot! Many factors may keep them from being able to claim their spot. For this reason, we will continue to draw again after each round until all spots are filled. 


REGISTRATION COST & REFUND POLICY

Registration Fee: $425 USD + Eventbrite fees/per person

Your registration fee includes:  

  • Friday Night Hearties Welcome Dinner

  • Admission to Friday Night’s Hearties Welcome party

  • Admission to Saturday’s events with the cast

  • Buffet lunch during Saturday’s festivities

  • Admission to a Night at the Hearties’ Cinema

  • Bus transportation Sunday to and from set

  • Sunday in Hope Valley at the Jamestown Movie Set where WCTH is filmed

  • Sunday lunch provided by food trucks on set

  • Exclusive Hearties swag bag


Refund Policy


Registrations are non-refundable and non-transferable to other individuals. The Hearties Family Reunion will provide no refunds if you are unable to attend. Instead, we now provide a refund insurance policy. Please read below because we have partnered with a third-party insurance company this year who may be able to refund your registration fee if you meet one of the valid cancellation reasons.

Included as a benefit in your Hearties Family Reunion registration is “inability to attend” insurance.

Hearties who must cancel before the first day of the Hearties Family Reunion will receive a 100% refund of registration fees IF they are unable to come due to a reason covered under the policy. This coverage starts on the date you pay for registration and ends on the first date of the event. The event must go on and cannot be canceled for this coverage to apply.

Should you have to cancel, send an email to HeartiesEvents@gmail.com. We will forward you the link to submit a claim. Supporting documentation is required and claims may be filed up to 30 days after the event.

What is covered:

1)  The death, injury, or illness happening to the attendee or exhibitor, a member of their immediate family who is under the age of 70, or any person(s) in the group due to attend the event with the attendee or exhibitor;

2)  Adverse weather including snow, frost, fog or storm where the Police service or other local Government agency have issued warning not to travel;

3)  Mechanical breakdown, accident, fire or theft in route of a private vehicle taking the attendee or exhibitor to this event;

4)  Jury Duty which the attendee or exhibitor was unaware of at the time of registration;

5)  The attendee or exhibitor being summoned to appear at court proceedings as a witness which they were unaware of at the time of registration;

6)  Burglary or fire at the residence of the attendee or exhibitor in the forty-eight (48) hours immediately before this event that required attendance of the emergency services;

7)  The attendee or exhibitor being a member of the armed forces and being posted overseas unexpectedly;

8)  Unexpected disruption of the public transport networks the attendee or exhibitor could not have reasonably known about before the date or time of this event;

9)  The attendee or exhibitor being relocated for work more than one hundred (100) miles from the work location which they were unaware of at the time of booking, or they are unexpectedly terminated from their job.

Please note: Hearties Family Reunion Administration reserves the right to decline the registration application of an individual if their attendance is determined to be a risk to the safety of the cast or any attendees. If such a determination is made, the registration will be refunded in full and the ticket released back to the general population.
